Organization How-To’s

Need to order food for a meeting?

There are certain vendors pre-approved by the University that will accept a Purchase Requisition as payment.  As long as the Purchase Requisition has been properly processed by the Office of Student Life, the monies will be directly taken out of your student organization account.

In order to use the requisition form, you must communicate your request to Stephanie Worden, Coordinator in the Office of Student Life by either email or using a Food-Bev Order Form at least 5 days prior to your deadline.   When contacting Stephanie, please have your order ready, know what time you would like it delivered, and to what room.  She will verify that you have enough funds in your account to cover the estimate cost and will complete the necessary purchase requisition.  She will notify you once the requisition is ready for pick up. You will then hand the requisition form to the delivery person and obtain a receipt from them.  You MUST then turn in the receipt to Stephanie immediately following the meeting.

Again, please plan ahead – you must email Stephanie at least 5 days before your meeting. Alternatively, you may front the cost and be reimbursed with organization funds, up to your current balance.

Things to remember when sending an email to the student body:

  • Law School Socials are not authorized to be advertised over any College of Law listserv.
  • Students/Student Organizations are not permitted to send emails to the faculty and staff listservs – should you wish to distribute information to these groups, please see Michelle Wilcox in Student Life to discuss the best options.
  • If and when any of your programming involves College of Law alumni, be sure to indicate their class year in any advertising, including emails.

Need to book a room?

  • Log-in to the Intranet.
  • Go to IT Services / Request Services / Event-Room-AV Request Form
  • Things to remember when reserving a room:
    • You want to be as complete and accurate as possible, while remaining succinct.  This is critical as that description then populates the Events Calendar, Weekly Events Sunday email,  Per Curiam, and 2nd Floor digital board.
    • If your event involves a guest, you must not only list their name, but also any affiliation they may have with the CoL (i.e., alum year).  This information must be included in any advertising of your event.
    • All events/programs at the College of Law are on the Events Calendar – located on the CoL website under the Academics link.  If you want to know what else is going on for a particular day, that is where you should look.
    • Be sure you reach out to Michelle Wilcox with the details of what you are planning so she can be sure that you are following all necessary guidelines.

Want to bring in a guest speaker?

  • Before you invite a guest to the College of Law, all organizations must discuss the invite and the guest with Michelle Wilcox in the Office of Student Life so that the nature of the program and any possible affiliation with the College of Law may be determined.

Need to arrange for parking for a guest speaker?

Parking requests for guests of student organizations may now be placed via the Intranet. You will receive an Orange Tracker update via email when your parking is approved. Please note that this is ONLY for guest parking.

Student parking issues should be addressed directly to Parking Services at 315-443-4652 or email parking@syr.edu Log in to the Intranet (Link is at the bottom of the Law website home page)
